W2 Pay Rate Range: $50/hr - $55/hr W2

Job Description:

Serve as a senior leader's right hand, independently driving multiple civic engagement workstreams by building project structure, managing contractors and aggressive timelines, coordinating stakeholder activities, and ensuring projects move from strategy through successful execution.

Day-to-Day Responsibilities:

  • Independently drive execution across five concurrent workstreams
  • Build project structure from scratch, including workplans, milestones, deadlines, dependencies, owners, and review cycles
  • Maintain project timelines and production schedules against aggressive deadlines
  • Coordinate external contractors, including scopes of work, procurement, onboarding, deliverables, and handoffs
  • Hold internal and external contributors accountable to project commitments
  • Anticipate obstacles, resolve routine blockers independently, and escalate larger risks with recommendations
  • Prepare leadership with project context, status updates, materials, and decisions
  • Represent senior leadership in meetings and communicate confidently on their behalf
  • Prepare reports, presentations, spreadsheets, and data visualizations
  • Coordinate workshops, focus groups, presentations, simulations, and practitioner-facing sessions
  • Manage session logistics, materials, testing, and rehearsal schedules
  • Capture feedback and translate findings into actionable next steps
  • Maintain project and knowledge-management systems, including version control and status reporting
  • Track risks, decisions, annual targets, KPIs, and project outcomes
  • Build strong relationships across internal teams, contractors, and external partners

Minimum Requirements:

  • 5+ years of project/program management or related experience
  • Experience serving as a right hand to a director, executive, or senior leader
  • Proven experience managing several workstreams simultaneously against aggressive timelines
  • Experience building project structure from scratch rather than inheriting an established process
  • Strong experience developing and managing workplans, milestones, dependencies, deadlines, owners, and review cycles
  • Experience coordinating external contractors, including scopes of work, procurement, onboarding, deliverables, and handoffs
  • Experience setting up and maintaining project and knowledge-management systems
  • Strong risk, issue, decision, and status tracking experience
  • Experience coordinating workshops, focus groups, or similar stakeholder sessions
  • Ability to synthesize feedback and translate findings into actionable next steps
  • Strong written communication and attention to detail
  • Experience developing reports, presentations, spreadsheets, and data visualizations
  • Smartsheet or comparable project planning software experience
  • Microsoft Office proficiency
  • Ability to work independently, remove routine blockers, and recognize when escalation is necessary
  • Comfortable communicating project status and risks to senior leaders
  • Bachelor's degree

  • Board relations experience
  • Development or donor relations experience
  • Nonprofit or university experience
  • Experience within civic engagement, public service, or another purpose-driven organization
