Job Description Summary:

The High Voltage Administrative Assistant provides administrative and operational support to the High Voltage (HV) department, assisting project managers, estimators, field operations, and department leadership. This role is responsible for coordinating project documentation, maintaining records, supporting procurement and scheduling activities, tracking project deliverables, and ensuring accurate communication between internal teams, clients, vendors, and field personnel.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced construction environment.

This role will be fully remote. Specific location details and expectations will be discussed during the interview process.

Position Responsibilities and Duties:

Administrative Support

  • Provide administrative support to the High Voltage department leadership and project teams.
  • Maintain organized project files, correspondence, contracts, drawings, and documentation.
  • Prepare reports, presentations, meeting agendas, and meeting minutes.
  • Manage department calendars, appointments, and scheduling needs.
  • Coordinate travel arrangements and meeting logistics when required.

Project Coordination

  • Assist project managers with project startup, closeout, and general project administration.
  • Track project milestones, deadlines, submittals, RFIs, and change orders.
  • Maintain project logs and ensure documentation is current and accurate.
  • Support project teams with document distribution and document control processes.
  • Assist with project handoffs between business development, preconstruction, and operations.

Procurement & Vendor Support

  • Assist with purchase order creation, tracking, and filing.
  • Coordinate equipment and material deliveries with vendors and project teams.
  • Maintain vendor records and support procurement documentation.
  • Track lead times and assist with material status updates.

Financial & Reporting Support

  • Assist with invoice processing and documentation.
  • Support budget tracking and cost reporting activities.
  • Compile project data for management reporting.
  • Maintain accurate records related to project costs and expenditures.

Communication & Coordination

  • Serve as a point of contact
  • for internal departments, clients, vendors, and field personnel.
  • Coordinate communication between project managers, field supervisors, and stakeholders.
  • Assist in preparing customer correspondence and project updates.
  • Ensure timely distribution of project-related information.

Data Management

  • Enter and maintain data within project management, ERP, CRM, and document management systems.
  • Generate reports and dashboards as requested by management.
  • Maintain department databases and records with a high degree of accuracy.

Compensation Range:

$25.10 - $31.38
